Maintaining calendar, scheduling meetings, and booking appointments:
- Booking and arranging travel, transport and accommodations
- Preparing communications on behalf of Director
- Implementing and maintaining procedures/administrative systems
- Monitoring Directors email and responding if required
- Collating and filing expenses
- Reminding the Director of important tasks and deadlines
- Liaising with staff, suppliers and clients
- Answering phone calls
- Taking notes and writing minutes during meetings
- Various ad-hoc requests
Skills and Abilities:
- Superior time management and organizational skills
- The ability to multitask with ease, meet deadlines and remain calm under pressure
- Excellent verbal and written communication skills
- Strong organizational skills
- Diplomacy and tact
- Discretion and confidentiality
- Ability to receive constructive feedback
- Must be internet savvy and be proficient in technology and social media
Personal Qualifications:
- Bachelor's degree in Business Administration or related field from a recognized tertiary institution
- At least five (5) years experience in an administrative position
