This position is responsible for the secretarial and general office work; coordinating, tracking, and monitoring of projects and budget expenditure on a timely basis, to ensure smooth operation of the Division.
POSITION SUMMARY:
This position is responsible for the secretarial and general office work; assisting the Manager/Department Head and other executives in the Division with administrative duties; as well as coordinating, tracking, and monitoring of projects and budget expenditure on a timely basis, to ensure smooth operation of the Division.
ELEMENTS OF MAJOR DUTIES
- Assists in the preparation and review of the Manager’s and Cost Center Manager’s budget and highlight variances.
- Coordinates travel arrangements and schedules appointments for Executive Personnel.
- Assists the General Office with Oracle functions and payroll data to Unix System.
- Organizes Department/Divisional and Monthly meetings.
- Files and retrieves project records and other correspondence.
- Assists the Manager in project management, ensuring that objectives are met within the time specified.
- Initiates research and obtain information, which will increase productivity and achieve the goals of the Division.
- Learns and applies new skills and knowledge for job enrichment and training.
EDUCATION/SPECIALIZED TECHNIQUES
- Tertiary diploma in Business Administration or CPS.
- Excellent human relations, time management, communication and report writing skills.
- Sound administrative and organizational skills.
- A minimum of three (3) years in a similar position.
- Competence in Microsoft Office Software (Excel and word).
- Knowledge of HR systems, Oracle Financials and Banner CIS.
- Project Management experience would be an asset
