Executive Assistant (Kingston, Jamaica) - Administrator-General's Department

Applications are invited from responsible and meticulous candidates to fill the following position:

Executive Assistant to the Administrator-General and CEO - grade 5
Job Purpose 
  • To provide direct and confidential support to the CEO, ensuring effective and efficient workflow with internal and external customers.
  • To perform, coordinate and oversee administrative duties as required by the Chief Executive Officer.


Technical 
/Professional Responsibilities:
  • Type and prepare correspondence, reports and other documents for the CEO
  • Prepare reports in conjunction with Executives and Managers, for presentation to various levels of management, Boards and the policy directorate, both internal and external 
  • Handle incoming matters as appropriate, forward other matters to Executives and staff, and follow up to ensure completion 
  • Review and critique reports and correspondence destined for external circulation before the CEO's signature can be affixed 
  • Coordinate special projects, internally or externally, as instructed by the CEO
  • Take minutes at meetings as directed and ensure minutes are circulated within stipulated timeframe 
  • Research, compile, assimilate and prepare confidential and sensitive documents and brief the CEO regarding contents
  • Establish and maintain an efficient filing and records keeping system ensuring sensitive information is kept confidential 
  • Interface with officials and members of the public seeking audience with the CEO and deal with matters within given authority 


Qualifications and Experience:
  • Minimum of undergraduate degree in Management/Administration or related discipline 
  • A minimum of three (3) years related work experience 
  • Competent in the use of Microsoft Office Suite applications 
  • Sound knowledge of AGD operations
  • Knowledge of the laws of succession 
  • Ability to understand legal documents 
  • Ability to work under pressure and to meet tight deadlines 
  • Excellent written and verbal communication skills 
  • Good time management and organizing skills 
  • Good analytical skills and sound judgment 
  • Candidates possessing a Legal Education Certificate will be at a distinct advantage
