 Executive Secretary


JOB PURPOSE

  • Provide efficient and effective executive/administrative support to the CEO.
  • Co-ordinate and/or performs administrative tasks necessary for the smooth functioning of the office.
  • Serve as a central point of liaison with internal and external clients.
  • Develop and maintain a comprehensive, effective and efficient record management program.
  • Research and obtain information to create, compose and edit technical and/or administrative correspondences and documentation.
  • Maintain an efficient information flow.

JOB RESPONSIBILITIES
  • Dealing with correspondence and phone calls
  • Managing diaries and organizing meetings and appointments
  • Typing, compiling, and preparing reports, presentations, and correspondence
  • Managing database and filing systems
  • Overseeing the smooth running of the CEO’s Office
  • Thorough knowledge and experience in administrative and secretarial functions.
  • Good report writing techniques.
  • Ability to display diplomacy, good reasoning power, and judgment
  • Proficient in Project Management
  • Proficient in speech writing
  • Must be accessible at all times
  • Knowledge of how government operates and its protocol.
  • Good knowledge of formal meeting protocol and minutes taking.
QUALIFICATION AND EXPERIENCE

(a) Education:
  • Bachelor’s degree in Business/Public Administration of the Social Sciences.
  • Certified Administrative Professional or other training in Administrative Management. plus
  • Certified Professional Secretary
(b) Experience:
  • A minimum of five (5) years of administrative related experience
  • Experience in dealing with matters of a confidential and sensitive nature.
