Administrative Officer (Kingston, Jamaica) - Guardsman Group

Plans, directs, coordinates and oversees all administrative functions of the operations and maintenance of the organization's fleet of vehicles.


What You'll Be Doing

  • Ensure fleet deployment availability for the operations island-wide.
  • Prepare documentation for Motor Vehicle Titles for Disposal, Bank Liens, Insurance Company, Adjustment to Engine, Misplaced Licence Plates, Licence Disc, and Change of Plates etc…
  • Execute the initial request for insurance for the company and leased motor vehicles with the respective insurance company.
  • Maintain updated motor vehicle accident/incident files.
  • Prepare application for Carrier’s Licence/Misplaced Licence Plate for company-owned vehicles.
  • Monitor and maintain all Lease Vehicle Accounts (Budget & Hertz)-rental, renewal, replacement and verify invoices submitted.
  • Supervise the day-to-day operations of the administrative department and staff members.
  • Support the Accounts Department to provide information for billing allocation.
  • Monitor and maintain Precision Logistics Fleet (Rental, Renewal, Replacement and verify Invoices submitted).
  • Reconcile weekly fuel invoices for Fuel Deals.
  • Liaise with external suppliers for repairs/servicing of golf carts/motorcycles etc and verify invoices submitted.
  • Procure and Dispose of Guardsman Group of Company vehicles.
  • Reset, approve, and monitor fuel purchased from external suppliers to include MCIS, Texaco, Tecnigas and Fuel Deals
  • Coordinate LPG Servicing
  • Perform other related duties consistent with the category, nature, function and objective of the job

A Little Bit About You
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
  • Detail-oriented and have knowledge of Project Management.
  • Good Time Management, Customer Service and Interpersonal Skills.
  • Excellent problem-solving and Analytical skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with ability to multi-task.
Minimum Qualifications
  • Bachelor’s Degree in Business Administration or related field or similar qualification would be an asset
  • Minimum of five (5) years’ experience in Office Administration
