Job Description: Records Officer (PIDG/RIM 2)

Job type: Full-time

JOB PURPOSE
• To Process documents and leave computation in accordance with leave and Labour Relations Act for all category of workers in the Ministry of Health and its Agencies.

KEY OUTPUTS
• Leave particulars processed
• Leave computed
• Personnel records updated

KEY RESPONSIBILITY AREAS
• Requests personnel files
• Keeps a record of all application for leave including department, sick, vacation and resumption of duties and resignation
• Liaises with officers with regard to leave entitlement
• Advises the Accounts Department about all leave granted, resumption from duties and resignations
• Maintains a record of all incoming and outgoing correspondence for leave
• Prepares monthly report for the amount of leave correspondence received, processed, approved or not approved
• Provides advice to officers on vacation leave and date of resumption
• Provides guidelines for members of staff with the provision of the Staff Orders
• Informs the Manpower Planning and Development of vacation leave eligibility as it relates to study leave
• Keeps a record of all persons proceeding on vacation leave
• Performs any other related duties that may be assigned from time to time

Performance Standards
• Leave computation prepared and updated in accordance with the establishment rules and procedures.
• Officers received approval letters on a timely basis.
• Staff is kept abreast of Circular from the Ministry of Finance and the Public Service in a timely manner

Minimum Education and Experience Required
• 4 ‘O’ Level including English and a numeric subject.
• Minimum of three (3) to four (4) years work experience
