Job Summary
Under the general direction of the Project Director, the Administrative Assistant is responsible for providing general administrative support to the Director of Projects and general secretarial services to the Projects Unit, currently based the Company's Head Office in Kingston.

Under the general direction of the Project Director, the Administrative Assistant is responsible for providing general administrative support to the Director of Projects and general secretarial services to the Projects Unit, currently based the Company's Head Office in Kingston.
Key Responsibilities include:
- Providing administrative support to the Director of Projects
- Provide secretarial services to the Projects Unit
- Produce minutes of meetings for the unit as assigned
- Produce monthly departmental and other ad hoc reports as required
- Manage records to include updating and maintaining the electronic filing system
- Conduct administrative functions to include booking and coordinating meetings and events; managing calendar schedules; liaising with internal departments, portfolio Ministry and other Governmental Ministries/Agencies
- Prepare and submit documents for meetings (external or internal)
- Request stationery and other office supplies for the Unit
Minimum Requirements:
- Current Designation in Certified Administrative Professional (CAP) or Certified Professional Secretary (CPS)
- Associate degree or diploma in Business Administration or Management or a diploma in Administrative Management level 4
- Minimum of five (5) years working experience in an administrative or executive secretary position
- Excellent command of the English Language and ability to communicate effectively both orally and in writing
- Proficiency in Microsoft Office Suite applications and other related applications
- Excellent interpersonal and team building skills
- High degree of integrity
The selected candidate must be in possession of a reliable motor vehicle to facilitate travelling to District offices and project sites as necessary.
