Administrative Assistant (Kingston, Jamaica) - Broadcasting Commission

 


The Broadcasting Commission seeks to hire a suitably qualified person to fill the position of: 

ADMINISTRATIVE ASSISTANT

Job Purpose

To provide administrative and communications support to the Senior Director, Communications & Public Education, in streamlining and modernizing the commission's core function of monitoring and compliance, to meet international standards and best practices.

Key Responsibilities:

  • Manage the Senior Director's incoming and outgoing correspondence including flagging high-priority items, drafting letters for review and dispatch, and reviewing relevant reports as assigned
  • Assist with the preparation of content standards presentations
  • Review and compile content standards rulings from other jurisdictions
  • Maintain digital filing system to keep paperwork and records in order, for easy access and retrieval 
  • Prepare minutes for Monitoring, Compliance and Content Committee meetings for submission to the Legal Counsel/Secretary
  • Edit audio and video recordings for MCC Meetings
  • Issue notices for Technical Committee meetings; prepare and circulate agenda and minutes
  • Liaise with the Communications & Public Education department regarding the creation of content (graphics, infographics, motion graphics/animation) to communicate content standards rulings to internal/external stakeholders
  • Assist with administration of Virtual Content Monitoring Centre

Key Skills and Competencies:
  • Good command of oral and written Standard English Language
  • Excellent listening skills and a keen eye for detail
  • Proficient in the use of Microsoft Office applications, editing apps/software, and video conferencing software
  • Analytical/critical thinking skills
  • Ability to function under pressure and work on own initiative with minimum supervision
  • Excellent time management skills
  • Excellent customer service and human relations skills
  • Knowledge of latest news and trends in music, popular culture, and entertainment
Qualifications and Experience:
  • A Certified Administrative Professional with a minimum of four (4) years of experience in an administrative position or,
  • A Bachelor's degree in Business Administration or Management with three (3) years experience

Legal Secretary Needed (Kingston, Jamaica) - Broadcasting Commission

 The Broadcasting Commission seeks to hire a suitably qualified person to fill the position of:


Legal Secretary (Contract)

Salary Range: $1,717,148.00 - $2,060,578.00 per annum

Job Purpose:

To provide administrative support to the Legal Counsel/Corporate Secretary.

Key Responsibilities:

  • Prepare contracts, and other documents for review by the Legal Counsel/Corporate Secretary.
  • Draft letters, reports, briefs and memoranda as directed by the Legal Counsel/Corporate Secretary.
  • Assist in the preparation of Board and Committee documents.
  • Assist in research of statutes, legal articles and other documents.
  • Prepare minutes and reports for review by Legal Counsel/Corporate Secretary within the deadline.
  • Draft documents in relation to regulatory matters.
  • Schedule an/or organize internal and external meetings.
  • Maintain accurate records, filing systems and computer files.
  • Perform other administrative duties as may arise from time to time.
Key Skills and Competencies:
  • High level competence in legal research and contract preparation.
  • Strong communication skills (oral and written)
  • Well-versed in meeting management and preparation of minutes.
  • Excellent research skills.
  • Exceptional interpersonal skills.

Qualification and Experience:
  • Certified Professional Secretary designation and/or Associate Degree in Business Administration
  • A minimum of three (3) years' working experience in a secretarial/administrative position. Experience in a Government or Commercial Legal Department would be an asset.
  • Training in legal proceedings and documentation of Paralegal Studies.

Internal Auditor

Salary Range: $3,127,957.00 - $3,753,548.00 p.a.

Job Purpose:

To conduct independent evaluations of the financial, physical and information resources of the Commission to ensure the effectiveness of the organization's fiduciary and statutory regulations and standards.

Key Responsibilities:

  • Examines the effectiveness of the management of resources and the compliance with established policies, procedures, laws and regulations.
  • Makes recommendations for safeguarding the Commission's resources.
  • Evaluates the Commission's management controls Conducts audit investigations.
  • Conducts audit investigations.
  • Provides information to the Board on the effectiveness of internal controls.
  • Undertakes special investigations as necessary.
Key Skills and Competencies:
  • Knowledge of Public Procurement Act and Regulations, Financial Administration and Audit (FAA) Art, and Public Bodies Management and Accountability (PBMA) Act.
  • Strong communication skills (oral and written).
  • Working knowledge of the Acts governing the Broadcasting Commission.
  • Excellent analytical, problem-solving and decision-making skills.
  • Exceptional interpersonal skills.
  • Ability to multitask and manage workload in a timely manner.
  • High level of integrity, confidentiality and professionalism.
Qualification and Experience:
  • Minimum of a Bachelor's Degree in Accounting or ACCA Level 2 or Internal Auditor Certification.
  • A minimum of five (5) years' work experience in Internal Audit with two (2) years at a supervisory level.
  • Training in Government Accounting, principles and methodology of Accounting and Auditing.
