The Council of Legal Education-Norman Manley Law School, invites applications for the post of Secretary/Receptionist. JOB PURPOSE
The incumbent will be responsible for providing secretarial and administrative support to the
Committee Administration and Research Coordinator.

MAIN DUTIES AND RESPONSIBILITIES

  • Types correspondence, reports and other documents, as required;
  • Composes letters and memoranda as required and submit for review;
  • Establishes, updates, maintains and controls computerized and manual confidential files
  • Takes minutes at meetings;
  • Organises and maintains proper filing system;
  • Maintains appointment diary and reminds of appointments, in advance;
  • Prepares Agendas for meetings and recognize relevant information and documents;
  • Ensures that the weekly schedule is prepared and distributed to all members of staff and all other relevant bodies;
  • Keeps an up to date list of all Committees of the Houses of Parliament;

JOB PURPOSE

Reporting to the Chief Internal Auditor (CIA), the Senior Secretary is responsible to provide secretarial and administrative support and to ensure the effective and efficient functioning of the CIA’s office.

KEY OUTPUT

Minimum Required Education and Experience
  • Successful completion of a course of study at an accredited Secretarial School and English Language at the CXC/GCE O’Level English;
  • Successful completion of the Certified Administrative Management (CAM) Level 2 Course at MIND;
  • Typewriting/word processing speed of at least 50 wpm;
  • Excellent shorthand/note taking skills of at least 100 wpm;
  • At least four (4) years of general office experience;

Job Summary

Press Secretary (MCG/IE 6)

The Press Secretary creates and implements communications strategies based on policies related to the functions of The Governor-General. They manage and direct the operations of the Public Relations Unit while liaising with the Special Advisor to The Governor-General and the Senior Executive Assistant to The Governor-General, in addition to ensuring appropriate coverage and exposure of The Governor-General’s activities, consistent with the requirements of The Constitution, and the responsibilities of The Office of The Governor-General (“The Office”). Furthermore, the incumbent is responsible for speaking to, and interacting with the media, stakeholders, and special interest groups on behalf of the Office, as well as preparing and overseeing the writing of speeches, messages, public statements, fact sheets, press releases, other types of written materials, and organising events such as press conferences.

Experiential Requirements & Special Conditions
  • The incumbent must have obtained a post graduate degree in Mass Communications or the equivalent from a recognised tertiary institution, with FIVE (5) years of experience in Public Relations and/or Journalism, or an undergraduate degree in Mass Communications or the equivalent from a recognised tertiary institution, with SEVEN (7) years of progressively responsible Journalism and/or Public Relations Experience.
  • They must also have training and experience in Project Management and Project Delivery. Training in Human Resource Management is desirable but not mandatory.

This is an office environment with no adverse working conditions, however, the Press Secretary is expected to lead by example and take a non-traditional approach to working hours. This means that they can work ten to twelve-hour days, on weekends and public holidays due to the requirements of The Office. There may be pressure when managing the deliverables and other requirements of the position. Travelling is required across the FOURTEEN (14) parishes of Jamaica.

  • Manage the Offices physical resources, such as printers, computers, phones etc. and arrange for the prompt repair or replacement of faulty equipment.
  • Order and secure stationery and other supplies for the Director’s Office.

MINIMUM EDUCATION AND EXPERIENCE
  • CXC/GCE ‘O’ Level English Language or equivalent with proficiency in typewriting at a speed of 40-45 words per minute and shorthand at 8 -100 words per minute; successful completion of the prescribed Office Professional Training Course at the Management Institute for National Development (MIND).
OR
  • Graduate of an accredited Secretarial School with proficiency in typewriting at speed of 40-45 words per minute and shorthand at a speed of 80- 100 word per minute, training in word processing applications and English Language at CXC or GCE O’ Level.

Senior Secretary (Kingston, Jamaica) - Early Childhood Commission

The Early Childhood Commission (ECC), a statutory body of the Ministry of Education and Youth, with responsibility to regulate the operation of Early Childhood institutions, is seeking to identify highly motivated and dynamic individuals to fill the following post:

Senior Secretary (OPS/SS3) - Two (2) posts

Job Purpose

The Senior Secretary is responsible for providing general administrative and secretarial support to the Manager and the department.

Key Responsibilities:
  • Prepares special recurring reports by gathering, compiling and typing data from various sources
  • Locates and compiles information and manipulates and/or formats reports, graphs, tables, records and other illustrations
  • Composes and types directives, bulletins, schedules, agendas and other documents
  • Types correspondence and reports from dictation 
  • Assists in the organization of events and activities by scheduling  rooms, issuing information, coordinating speakers and monitoring the budget 
  • Manages the department head's calendar and arranges tentative schedules
  • Makes arrangements for meetings; attends meetings, and prepares and transcribes minutes
  • Makes travel and accommodation arrangements as required
  • Opens, sorts and screens mail; drafts responses on matters for which authority has been delegated 
  • Orders office supplies for the department and maintains all associated records
  • Assists in the support and implementation of training programmes
  • Provides administrative support in the development of training modules, agendas, and course descriptions as it relates to the departments activities
  • Schedules and secures training needs, sign-in sheets, facilities and materials
  • Assists with compiling, maintaining and filing all physical and computerized reports, records and other documents required

Minimum Required Education and Experience:
  • Certified Professional Secretary Diploma/Management Diploma or equivalent qualifications
  • Two (2) years working experience in an administrative position
Remuneration: Salary scale $1,711,080.00 - $2,301,186.00 per annum, and any other allowances attached to the post.

Secretary 2 (Kingston, Jamaica) - Min. of Economic Growth & Job Creation


Secretary 2 (OPS/SS 2) – (Vacant), salary range $1,272,269 - $1,711,060 per annum - Meteorology Services Branch, Ministry of Economic Growth and Job Creation (MEGJC):

Job Purpose
The incumbent is responsible to assist in providing accounting, stock taking and administrative services for the Meteorological Service.

Key Responsibilities
Technical/Professional:
  • Receives and circulates to Branch Heads correspondences for their attention;
  • Monitors that incoming correspondences and reports are scheduled and dealt with on a priority basis;
  • Takes notes and prepare Minutes of meeting convened by Branch Heads whether Administrative or Technical;
  • Screens visitors desirous of visiting Branch Heads and screen their calls;
  • Circulates memoranda, circulars and other documents within the Branches;
  • Undertake typing for staff of the Division;
  • Keeps abreast of the role and functions of the Division with a view to conveying this information to visitors and the general public, when necessary;
  • Provides information to the general public of the location of Tropical Cyclones that pose a threat to the Island, when necessary, based on information provided by relevant staff;
  • Re-routes correspondences and other materials for filing to Registry;
  • • Maintains ‘third copy file’ for Branch Heads;
  • Maintains files and records for Branch Heads;
  • Maintains a daily Diary of appointments for the Branch Heads and ensure that it is kept up to date;
  • Takes dictation in shorthand and transcribing accurately by typing;
  • Records telephone messages in the absence of Branch Heads and ensure that they receive all messages;
  • Types outgoing correspondences for the Director in the absence of the Executive Secretary.

Required Knowledge, Skills and Competencies

OR
  • CXC or GCE ‘O’ Level English Language with proficiency in typewriting at a speed of 40- 45 words per minute and training in word processing and spreadsheet applications. Graduated from an accredited Secretarial School with at least three (3) years’ experience in the field;
  • At this level, Shorthand at a speed of 80-100 words per minute would be an asset.
