Administrative Secretary (St. Catherine, Jamaica) - Portmore City Municipality

Applications are invited from suitably qualified persons to fill the following post on a contractual basis at the Portmore City Municipality:

Administrative Secretary (Local Sustainable Development Plan)

Reporting to the Project Manager, the Administrative Secretary will support the operations of the project Portmore Local Sustainable Development Plan (PLSDP) and the Municipality's Local Economic Development Strategy.

Description of Services:
See to the day to day affairs of the office which involves the following:
  • Answering the telephone, making calls and routing them to persons in question
  • Receiving and responding to emails and printing them when necessary 
  • Prepare and dispatch for delivery, correspondence to all project stakeholders as directed 
  • Maintain a file management system to include correspondence, memorandums and other documents 
  • Convene meetings, workshops and seminars which involve: mobilizing and sensitising persons via emails and phone calls. Contacting guest speakers/presenters, sending out correspondence, booking of venues, preparing agendas, making follow up calls, contacting the media and sending out adverts in the form of flyers and brochures, etc.
  • Prepare the minutes/reports for meetings 
  • Assist with other miscellaneous tasks as directed 

Qualifications and Experience:
  • Associate degree/diploma in Business Management or HEART certification level 3 Business Administration or Professional Secretary certification level 3 or higher
  • One (1) year related working experience 
  • Certification or experience in the area of Urban and Regional Planning is a distinct advantage 
Other related skills:
  • Be able to relate to staff at all levels

  • Possess the ability to work on own initiative 
  • Possess excellent communication skills 
  • Above average proficiency in Microsoft Office Suite applications 
  • Good analytical and technical skills 
  • Excellent time management and multi-tasking abilities 
Salary range: $939,448.00 - $1,116,709.00
