Shortwood Teachers' College is seeking suitably qualified individuals to fill the positions below:

Administrative Assistant (Contract)

Key Responsibilities:

The incumbent is responsible for efficiently managing the day to day operations of the office. 

Main duties include:
  • Drafting Minutes of meetings, preparing reports and letters
  • Diary Management
  • Organize and maintain correspondence
  • Respond to internal and external calls/queries in a timely manner
  • Provide general administrative/secretarial services and perform any other related duties assigned from time to time which may be required to ensure the efficient operation of the Office
Requisite Skills:
  • Excellent written and verbal communication skills
  • Ability to work effectively and meet deadlines
  • Pleasant personality with excellent interpersonal skills
  • Positive attitude and professionalism
  • Computer literate, proficient in MS Office (Word/Excel, etc)
Qualifications and Experience:
  • Diploma in Secretarial Studies or similar professional qualifications in relevant field
  • Minimum of three (3) years working experience in a similar position

Clerical Assistant/Accounts Payable Officer (Contract)

Under the direct supervision of Bursar, the Accounts Payables Officer is responsible for the management of procedures in accounts payable and disbursements, ensuring that:
  • The established systems and procedures for the accounting payables functions are adhered to, by ensuring that all requests are for payments are effected according to the FAA instructions and other established procedures
  • There is timely processing of payables and disbursements
  • All payments and expenditures, including payroll, purchase orders, invoices, statements, commute and mileage registers are tracked
Scope of Responsibilities:
  • Prepare payments to the institution's suppliers
  • Prepare monthly reconciliation of payables
  • Prepare monthly reconciliation of Accounts Payables ledgers and sub ledger
  • Monthly preparation of audit schedules 
  • Arrange journal entries
  • Ensure that all payables transactions including verifying, classifying and recording accounts payable data
Minimum Required Qualifications and Experience:
  • Solid understanding of basic bookkeeping and accounting payables principles
  • Working knowledge of QuickBooks accounting software
  • Diploma in Accounting  from a recognized university or;
  • Associate of Science degree in Accounting, MIND, or Diploma in Government Accounting, MIND i.e. Government Accounting levels 1, 2 and 3
