Key Responsibilities

Under the direct supervision of Bursar, the Accounts Payable Officer is responsible for the management of procedures in accounts payable and disbursements, ensuring that:
  • the established systems and procedures for the accounting payables functions are adhered to, by ensuring that all requests for payments are effected according to the FAA Instructions and other established procedures.
  • there is timely processing of payables and disbursements
  • all payments and expenditures, including payroll, purchase orders, invoices, statements, commute and mileage registers are tracked.


Scope of Responsibilities
  • Prepare payments to the institution’s suppliers
  • Prepare monthly reconciliation of payables
  • Prepare monthly reconciliation of Accounts payables ledgers and sub ledger
  • Monthly preparation of audit schedules
  • Arrange journal entries
  • Ensure that all payables transactions are updated in QuickBooks System
  • Perform day to day financial transactions including, verifying, classifying, and recording accounts payable data
Minimum Required Qualification and Experience
  • Solid understanding of basic bookkeeping and accounting payable principles
  • Working knowledge of QuickBooks Account Software
  • Diploma in Accounting from a recognized University or;
  • Associate of Science Degree in Accounting, MIND, or Diploma in Government Accounting, MIND, i.e. Government Accounting Level 1, 2 & 3

The Clerical Assistant provides support to the Administrative Officer in the procurement of goods and services, maintains the filing system and assumes the role of "super-user" in relation to the administration and maintenance of the information technology system.

Main Duties & Responsibilities include:

  • Assists with sourcing of items for purchase; requests quotations from suppliers and prepares purchase orders
  • Liaises with suppliers on matters in to orders placed; processes invoices/payment requests for submission to the DBJ for payment; follow up to ensure timely payment
  • Maintains stock for office supplies; distributes supplies to staff and maintains accurate records of items distributed
  • Supports the Document Controller in relation to accounting records by filing hard copy documents, scanning and updating the electronic filing system; monitoring files borrowed and ensuring they are returned within the agreed timeframe (Accounting Records)
  • Carries out basic repairs and troubleshooting on the Information Technology office systems as instructed by the Administration Manager or Service provider
  • Relieves the Secretary at designated periods and manages the telephone and reception area in his/her absence
  • Undertakes any other duties within the scope of the job that may be assigned

Minimum Required Education and Experience:
  • Five (5) CXC/GCE subjects at the general proficiency / O'level including English Language and a numeracy subject
