Assistant Registrar (Kingston, Jamaica) - Jamaica Constabulary Force (JCF)

 Applications are being invited from suitably qualified applicants to fill the following position within the Human Resource Division of the Police Department.

Assistant Registrar (PIDG/RIM 3) - Vacant 


Salary range: $933,069 - $1,109,126 per annum and any allowance(s) attached to the post.

Job Purpose:

The incumbent is responsible for the maintenance of an effective and efficient file management and mail dispatch system, ensuring safe custody and efficient retrieval of records and a reliable automation  and manual records management system. 

Key Outputs
  • Manages the mail dispatch function of the Division, ensuring that mails are delivered within specified time frames
  • Logs files to Records Clerk for filing
  • Conducts desk audits to ensure files are filed within specified time frame and according to the established format
  • Oversees the conduct of file inventories and updates all filing systems
  • Manages requests for files and ensures that service levels are maintained in accordance with standard operating procedures
  • Monitors the movement of files and updates system accordingly
  • Manages the Bring-up system and ensures that files are submitted to relevant persons on specified dates
  • Monitors the issuance/movement of files to ensure that files are accessed only by duly authorized persons
  • Manages the stamp system, ensuring continuous availability
  • Ensures consistency and accuracy of information within the Unit
  • Develops, implements and maintains a system for tracking files
  • Provides report on desk activities
  • Ensures backup of filing systems
Minimum Required Education and Experience:
  • Minimum of four (4) subjects at the CXC or GCE 'O' level including English Language and a numeracy subject
  • Training in Records and Information Maagement

Assistant Registrar (Kingston, JM) - JDF (Caribbean Military Academy)

The Jamaica Defence Force (JDF) invites suitably qualified persons to enlist in the JDF, to fill the following position as

Assistant Registrar at The Caribbean Military Academy (CMA)

Candidates must fulfill the following requirements:

Nationality: Be a citizen of the Commonwealth

Minimum Professional and Educational Requirements:
  • Professional qualification in Records Management
  • At least three (3) years experience in Records Management at the supervisory level

Key Duties and Responsibilities:
  • Develop, implement and administer a comprehensive records management programme for the CMA to achieve full lifecycle management for all records regardless of media
  • Establish efficient and effective records and information management policies, procedures and standards in compliance with JS ISO 15489 (Jamaica Standard Specification for Information and Documentation) and based on international best practices while keeping with the provisions of the overarching Government of Jamaica RIM Policy and Guidelines
  • Generate user-friendly and functional information management systems and support for achieving high levels of accountability and transparency
  • Ensure that information can be easily identified and retrieved when needed, by providing a structured functional classification system that supports the core and administrative activities of the organization
  • Implement a records retention and disposition programme
  • Coordinate the evaluation and preparation of records for detentions scheduling in accordance with applicable laws and to meet the administrative, financial and evidential requirements of the organization
  • Coordinate the compilation and distribution of records management policies and procedures
  • Provide training, advice and assistance to management and staff at all levels to facilitate maximum cooperation and compliance with established record keeping standards
