SENIOR SECRETARY (Kingston, Jamaica) - Houses of Parliament


SENIOR SECRETARY PAY BAND 4 (OPS/SS 3) (vacant)

Applications are invited from suitably qualified persons for the post of Senior Secretary Band 4
(OPS/SS 3) (vacant) at the Houses of Parliament.

The salary range is from $1,711,060 - $2,301,186 per annum.

JOB PURPOSE
The incumbent will be responsible for providing secretarial and administrative support to the
Committee Administration and Research Coordinator.

MAIN DUTIES AND RESPONSIBILITIES

  • Types correspondence, reports and other documents, as required;
  • Composes letters and memoranda as required and submit for review;
  • Establishes, updates, maintains and controls computerized and manual confidential files
  • Takes minutes at meetings;
  • Organises and maintains proper filing system;
  • Maintains appointment diary and reminds of appointments, in advance;
  • Prepares Agendas for meetings and recognize relevant information and documents;
  • Ensures that the weekly schedule is prepared and distributed to all members of staff and all other relevant bodies;
  • Keeps an up to date list of all Committees of the Houses of Parliament;
  • Assists with the reproduction of documents for committee meetings;
  • Receives and screens telephone calls and directs them accordingly;
  • Answers general enquiries regarding the Unit
  • Performs other related functions assigned from time to time.

MINIMUM QUALIFICATIONS AND EXPERIENCE
  • CXC or GCE O’ Level English Language; successful completion of the prescribed course of study at the Management Institute for National Development, proficiency in typewriting at speed of 50-55 words per minute, plus four to five (4-5) years general office experience, OR
  • Graduation from an accredited school of Secretarial Studies with proficiency in typewriting at a speed of 50-55 words per minute; training in the use of a variety of software applications e.g. word processing, database and spreadsheets; English Language at CXC or GCE O’ Level; completion of appropriate Office Professional Training Course at Management Institute for National Development plus four to five (4-5) years general office experience, OR
  • Successful completion of Certified Professional Secretary course or Certificate in Administrative Management (CAM), Level 2; proficiency in typewriting at a speed of 50-55 words per minute; English Language at CXC or GCE O’ Level; training in the use of a variety of computer software applications and four to five (4-5) years general office experience.

Proof Reader (Kingston, Jamaica) - Houses of Parliament, Jamaica

Proof Reader (MCG/IE 3) - Level 3 - Contract

Salary: $1,231,399 - $1,463,747

Job Purpose

Under the general supervision of the Hansard Editor, the incumbent reviews and edits the Parliamentary verbatim notes of the House of Representatives, the Senate and the Parliamentary Committees.

Main Duties and Responsibilities:

  • Check and proofread copies of verbatim notes of the House of Representatives, the Senate and Parliamentary Committee
  • Review printer's proof and make necessary correctional signs to eliminate typographical and grammatical errors
  • Assist the Systems Administrator in operating audio recording device
  • Assist the Hansard Editor in the final editing of the verbatim notes
  • Conducts necessary research on Hansard information for internal/external clients
Required Competencies:
  • Excellent oral and written communication skills
  • Ability to meet deadlines and work on own initiative
  • Excellent listening and analytical skills
  • Excellent team building and interpersonal skills
Minimum Qualification and Experience:
  • Bachelor of Arts degree or equivalent specializing in English

Transcriptionists (Kingston, Jamaica) - Houses of Parliament, Jamaica

Transcriptionists (OPS/SS 3) - Level 4 - 4 posts - Contractual


Salary: $1,007,823 - $1,197,984 p.a. plus applicable allowance(s)

Job Purpose

Under the general supervision of the Chief Hansard Reporter, the Transcriptionist records and produces typewritten Verbatim Notes of the meetings of the Houses of Parliament and its Committees.

Key Responsibility areas:
Technical/Professional Responsibilities:
  • Provides transcription services for special committee meetings, retreats and conferences
  • Listens to recordings and produces accurate Verbatim Notes of meetings of the Houses of Parliament, the Senate and its Parliamentary Committees
  • Ensures accuracy of transcribed text by reviewing spelling, grammar and punctuation prior to submission for checking and vetting by the Hansard Editing Section 
Required Knowledge. Skills and Competencies:
  • Excellent oral and written communication skills
  • Keen attention to detail
  • A highly developed knowledge of English usage, grammar, spelling and construction, sufficient to accurately reflect the spoken word in text
  • Strong listening  and typing skills
  • Excellent interpersonal and team building skills
  • Experience in the use of standard computer applications particularly Microsoft Office Suite
  • Experience in the use of recording devices and equipment
  • General knowledge of local and international current affairs
  • Ability to work with a variety of persons and personalities
  • An understanding of the Jamaican Parliamentary process
  • Well developed emotional intelligence
  • Ability to work independently and meet deadlines
  • Ability to perform under stress when confronted with emergency, critical and unusual situation in which speed, accuracy and sustained attention are essential
Minimum Required Qualifications and Experience:
  • Diploma/Associate degree in Public Administration, Communication or other related field
  • Training in the use of ICT applications
  • Training in stenograph writing would be an asset
  • Typing speed at a minimum of 120 words per minute 
  • Three (3) years of experience

SERVER (LMO/TS 2) - Two (2) Posts



JOB PURPOSE

Under the general direction of the Food and Beverage Manager, the Server is responsible for taking customers’ orders, serving meals and the general upkeep of the Food and Beverage Services Branch.

KEY RESPONSIBILITY AREAS
Technical/Professional
  • Prepares tables by setting up linens, silverware and glasses and maintains a tidy dining area;
  • Takes and communicates food and beverage orders;
  • Serves food and beverage to customers;
  • Provides excellent wait service to ensure customers’ satisfaction;
  • Assists with the preparation of food items and brewing hot beverages;
  • Clears tables and return dishes to the kitchen after meals are finished;
  • Assists with the preparation for catering of functions/special events;
  • Follows proper food handling and hygiene protocols.

REQUIRED COMPETENCIES
  • Good interpersonal skills
  • Good communications skills
  • Ability to deliver quality customer service
  • Ability to work on own initiative
  • Awareness of food standards and regulations

MINIMUM QUALIFICATION AND EXPERIENCE
  • Certificate in Hospitality Services Level 2 from a recognized Tertiary Institution;
  • A minimum of one (1) year working experience as a food and beverage server
  • Must have a valid Food Handler’s permit

REMUNERATION
The salary range is $10,254-$11,602 per week.
