The salary range is from $1,711,060 - $2,301,186 per annum.

JOB PURPOSE
The incumbent will be responsible for providing secretarial and administrative support to the
Committee Administration and Research Coordinator.

MAIN DUTIES AND RESPONSIBILITIES

  • Types correspondence, reports and other documents, as required;
  • Composes letters and memoranda as required and submit for review;
  • Establishes, updates, maintains and controls computerized and manual confidential files
  • Takes minutes at meetings;
  • Organises and maintains proper filing system;
  • Maintains appointment diary and reminds of appointments, in advance;
  • Prepares Agendas for meetings and recognize relevant information and documents;
  • Ensures that the weekly schedule is prepared and distributed to all members of staff and all other relevant bodies;
  • Keeps an up to date list of all Committees of the Houses of Parliament;
  • Assists with the reproduction of documents for committee meetings;
  • Receives and screens telephone calls and directs them accordingly;
  • Answers general enquiries regarding the Unit
  • Performs other related functions assigned from time to time.

  • Graduation from an accredited school of Secretarial Studies with proficiency in typewriting at a speed of 50-55 words per minute; training in the use of a variety of software applications e.g. word processing, database and spreadsheets; English Language at CXC or GCE O’ Level; completion of appropriate Office Professional Training Course at Management Institute for National Development plus four to five (4-5) years general office experience, OR
  • Successful completion of Certified Professional Secretary course or Certificate in Administrative Management (CAM), Level 2; proficiency in typewriting at a speed of 50-55 words per minute; English Language at CXC or GCE O’ Level; training in the use of a variety of computer software applications and four to five (4-5) years general office experience.

Senior Secretary (Kingston, Jamaica) - University Hospital of the West Indies

Salary: $1,711,060 per annum

Summary of Duties:

Under the general direction of the Senior Director - Clinical Services/Medical Chief of Staff, the Senior Secretary - Clinical Services is responsible for:

  • Typing letters, reports, circulars, memo, and letters of recommendation for agencies
  • Attending meeting, taking notes, transcribing and producing minutes in a timely manner
  • Maintaining appointment diary for the Senior Director - Clinical Services/Medical Chief of Staff and disseminating information as directed
  • Contacting Heads of Departments or other personnel to relay information regarding meetings as other appointments or to convey information generally 
  • Obtaining patients' records for investigation purposes and maintaining a reliable tracer system
  • Receiving and dispatching correspondence (internally/externally) using reliable logging system
  • Liaising with Hospital's Lawyers, as directed, to provide assistance regarding cases involving patients' complaints
  • Following up on status/progress of Medical Reports for patients from consultants for inquiry purposes or otherwise
  • Receiving complaints (oral/written) on the bahalf of the Medical Chief of Staff and attend to or referred for the appropriate action

Minimum Required Education and Experience:
  • MIND certificate in Administrative Management (Level 3)
  • At least four (4) years of work experience in the related field
  • Experienced Secretary/Executive Secretary specializing in handling top management or equivalent

Job Purpose
Under the supervision of a Manager/Director, the Senior/Junior Secretary provides administrative and secretarial services to facilitate the efficient operations of the Division.

Key Responsibilities:
  • Takes dictation of letters, memos and reproduce;
  • Prepares documents on behalf of the manager/Director;
  • Schedules appointments for meetings and maintains diary;
  • Prepares documents for submission to meetings/conferences/workshops;
  • Attends meetings to record Minutes and reproduces the same and action sheets for circulation;

Job Purpose

The Senior Secretary is responsible for providing general administrative and secretarial support to the Manager and the department.

Key Responsibilities:
  • Prepares special recurring reports by gathering, compiling and typing data from various sources
  • Locates and compiles information and manipulates and/or formats reports, graphs, tables, records and other illustrations

The Ministry of Justice (MOJ) is seeking to recruit a suitably qualified person to fill the position of Senior Secretary (OPS/SS 3)– in the Project Management, Evaluation & Technical Services Division (Vacant), salary range $ 1,007,823.00 to $ 1,197,984.00 per annum and any allowance(s) attached to the post.


JOB PURPOSE (reason for job existing)
Under the supervision of the Director, the incumbent provides secretarial and administrative
support services to ensure the efficient and effective operations of the Project Management &
Evaluation Branch.

KEY RESPONSIBILITIES
• Prepare letters, memoranda, reports and documents for supervisor's signature;
• Prepare responses to correspondence containing routine enquiries;
• Open, sort and distribute incoming correspondence, including facsimiles and emails;
• File and retrieve documents, records and reports;
• Prepare requisitions for office supplies and maintain record of the distribution of stationery
and supplies to members of staff within the Unit;
• In consultation with Supervisor, maintain and update appointment diary;
• Provide administrative/secretarial support for the unit by answering telephones, assisting
visiting personnel, and resolving and/or referring a range of administrative problems and
enquiries;
• Schedule and coordinate meetings, events, interviews, appointments, and/or other similar
activities for supervisor, which may include arrangements for coordinating travel and
accommodation;
• Establishes and maintains an electronic tracking system for correspondence, files and
progress reports.
• Conduct research to ensure correct and appropriate quotations are included in contract
documents prepared for signature;
• Prepare government contracts to awarded contractor for signing;
• Prepare monthly and quarterly reports;
• Investigate complaints by relevant officers and resolve problems as directed by the Director, Project Management and Evaluation.

Job Purpose 

To co-ordinate secretarial services to the Director related to correspondence, letters, memoranda scheduling of appointments, Minute-taking and other administrative duties.

  • Notes appointments in Director’s diary and prepares necessary files and reminders for all meetings;  
  • Arranges internal and external meetings on instruction of the Director;
  • Prepares and dispatches mails to the relevant persons; 
  • Organizes and maintains proper Filing System for the Division;   
  • Files all correspondence received on the relevant files;  
  • Creates new files, closes old ones and issues files to officers; 
  • Checks supplies received against the quantities ordered in the requisition and keeps proper record of distribution;  
  • Monitors the storage of stationeries and retrieves them when necessary;
  • Answers the telephone; screens incoming calls and takes messages for the Director; 
  • Assists Administrator in dispatching the Messenger; 
  • Maintains records of photocopies and deposits collection of monies.

Minimum Required Qualification and Experience   

  • CXC or GCE ‘O’Level subjects including English Language; successful completion of the prescribed Secretarial Course of study at the Management Institute for National Development (MIND) or any Accredited Secretarial Studies, proficiency in typewriting at a speed of 50-55 words per minute and shorthand at a speed of 100-120 words per minute, plus four (4) to five (5) years’ general office experience;                    OR  
  • Graduation from an accredited school of Secretarial Studies with proficiency in typewriting at a speed of 50-55 words per minute and shorthand at a speed of 100-120 words per minute, training in the use of a variety of software applications e.g., word processing, database and spread sheets; English Language at CXC or GCE ‘O’Level; completion of the appropriate Office Professional Training Course at the Management Institute for National Development, plus four (4) to five (5) years’ general office experience; OR  
  • Successful completion of the Certified Professional Secretary course; proficient in typewriting at a speed of 50-55 words per minute and shorthand at a speed of 100-120 words per minute; English Language at CXC or GCE ‘O’Level; training in the use of a variety of software applications and four (4) to five (5) years’ general office experience plus the appropriate Office Professional Training Course at the Management Institute for National Development.

Senior Secretary (Head Office - Kingston) - Electoral Commission of Jamaica

Core Duties:

  • Performs follow-ups to secure timely responses from internal units and external entities to correspondence emanating from the Unit
  • Makes appointments and receives visitors for the Assistant Director and assists them in accordance with established procedures
  • Takes messages in his/her absence, screen callers and direct calls to Assistant Director or refers them to appropriate officers as the situation dictates
  • Prepares draft responses, letters, memos, reports and minutes of meetings
  • Maintains suitable filing systems (manual/electronic)
  • Conducts research as directed
Minimum Qualification and Experience:
  • Five (5) CSEC subjects inclusive of English Language and Mathematics and with passes at grades 1, 2 or 3
  • Diploma in Secretarial Studies from an accredited institution and/or Certified Administrative Management (CAM)
  • Level 2 certificate from the Management Institute for National Development (MIND)

Senior Secretary (Kingston, Jamaica) - National Housing Trust

 The National Housing Trust seeks to identify a Senior Secretary (Legal Secretary) for its Company Secretariat and Legal Services Department.


Main Duties:

The main responsibilities include but are not limited to:

  • Preparing documents for litigation or other matters as required
  • Preparing diverse agreements
  • Finalizing and collating contract documents
  • Maintaining cases for which judgements are received to ensure compliance
  • Reviewing and responding to customer queries
  • Managing the litigation Legal Officer's diaries; and
  • Preparing and submitting reports
Qualifications:
The Senior Secretary must have:
  • At least five (5) subjects at the CXC or GCE O' level inclusive of English Language and Mathematics
  • Paralegal certification
  • Certified Professional Secretary (CPS) designation; and
  • At least two (2) years experience as a Senior/Legal Secretary
The following skills/competencies are required at above average levels:
