Legal Secretary (Kingston, Jamaica) - National Solid Waste Management Authority

Legal Secretary


The National Solid Waste Management Authority (NSWMA) invites applications from suitably qualified persons to fill the position of a Legal Secretary.

The successful candidate will report to the Legal Officer. The principal goal is to support the division by performing a range of clerical duties including researching case information, scheduling meetings, liaising with all internal departments and Regions and filling legal documents.

Job Responsibilities

  • Drafts, revises, and edits letters and other written documents, and collects and analyzes information;
  • Maintains attorney calendar;
  • Represents attorney by communicating on his/her behalf and obtaining information, following-up on delegated assignments, and knowing when to act and when to refer matters to attorney; 
  • Develop and maintain filling and retrieval systems;
  • Records and documents meeting discussions, maintains transcripts, documents,  and maintains evidence;
  • Write case briefs and synopses of depositions, contracts and testimony;
  • Produce and file various legal documents such as appeals, motions or petitions;
  • Preserve an updated case record system.

Qualifications Required

Education/Experience:

  • Proven experience as legal Secretary (three (3) years);
  • Legal Secretary certification or diploma;
  • Knowledge of the constitution, legal terminology, regulations and court system;
  • Knowledge of MS Office and ability to work with legal technology.

Legal Secretary (Level 4), salary range $ 1,072,485.00 - $ 1,340,607.00 per annum and any allowance(s) attached to the post.

Paralegal Officer

(Temporary)

The National Solid Waste Management Authority (NSWMA) invites application from suitable qualified persons to fill the position of a Paralegal Officer.

The successful candidate will report to the Director of the division. The incumbent will be responsible for preparation of contracts (including leases), conducting research and preparation of correspondence and related documents for litigation and all legal matters of the organization upon instruction from the Legal Officer.

Job Responsibilities

  • Create reports and documents based on case specifications and requests.
  • Help lawyers prepare legal arguments, motions, and other case fillings.
  • Monitor changes to laws, guidelines, or regulations; submit reports on pertinent changes in legislation.
  • Utilize existing files and a variety of other legal research resources to develop information for pending cases.
  • Prepare affidavits, legal correspondence and other documents for attorneys.
  • Organize and maintain documents in a paper or electronic filing system.
  • Prepare briefs, wills, contracts, real estate closing statements, pleadings, appeals, and other legal documents.
  • Investigate facts and laws of cases and search public records and other resources to prepare cases and determine causes of action.
  • Gathering and analyzing statutes, decisions, and legal articles, codes, documents and other data.

Qualifications required

Education/Experience:

  • Proven experience as Paralegal (three (3) years);
  • Associate degree in paralegal studies required; bachelor's degree preferred;
  • Knowledge of constitution, legal terminology, regulations and court system;
  • Knowledge of MS Office and ability to work with legal technology.
Specifications

  • Working knowledge and competency with case management software;
  • proficiency with word processing and spreadsheet software;
  • Strong oral and written communication skills;
  • Must be able to effectively multi-task, manage time-sensitive documents and have exceptional organizational skills in a fast-paced environment;
  • Must be able to function effectively in a busy, team-oriented environment;
Paralegal Officer (Level 5), salary range $ 1,348,671.00 - $1,685,837.00 per annum and any allowance(s) attached to the post.

Administrative Assistant (Kingston, Jamaica) - National Solid Waste Management Authority


The National Solid Waste Management Authority (NSWMA) invites applications from suitably qualified persons to fill the position of Administrative Assistant.

The successful candidate will report to the Director and the primary responsibilities are organizing and managing carefully the diary of the Director, ensuring adequate follow up systems exist within the Director's office so that all pending matters are finalized, recording and producing minutes of meetings as required and ensuring the proper management of all projects, programmes and activities being executed. The incumbent is also responsible for keeping abreast of all matters being handled by the Director in order to provide the necessary support and feedback.

Qualifications Required:

  • B.Sc. degree in Administrative Management or other suitable qualifications
  • Certified Professional Secretary (CPS)
  • At least three (3) years experience in a similar position
  • Computer literacy with sound knowledge in Microsoft Word and Excel

 The National Solid Waste Management Authority (NSWMA) invites applications from suitably qualified persons to fill the position of Secretary for the Human Resource Department. 

The successful candidate will report to the Human Resource Manager and the primary responsibilities are:

  • Attending meetings as required and taking and reproducing minutes
  • Preparing of correspondence for dispatch internally and externally as required
  • Assist the department in making the necessary arrangements for events
  • Ensuring adequate supply of stationery for the department
  • Making copies of documents, reports when required
  • Taking the necessary steps to understand the required formats and contents of the reports required from the department
Qualifications Required:
Education/Experience
  • Associate degree in Business Administration
  • At least one (1) year experience in a similar position
  • Working knowledge and experience in using Microsoft Office Suite applications

Senior Secretary (Kingston, Jamaica) - National Solid Waste Management Authority

The National Solid Waste Management Authority invites applications from suitably qualified persons to fill the position of Senior Secretary - Corporate Services Division.

The successful candidate will report to the Corporate Services Director and the primary responsibility is the production of minutes of departmental meetings, typing of routine internal and/or external correspondence, reports and the maintenance of filing systems for the department. The incumbent also acts as a support to the Director in respect of telephone calls being received and/or placed and in respect of the preparation of regular/routine reports required internally.

Qualifications required:


  • Diploma in Secretarial Studies
  • CPS designation
  • At least five (5) GCE O' level subjects including English Language and Mathematics
  • At least three (3) years experience in a similar position
  • Computer literacy with sound knowledge in Microsoft Word/Excel
