Customer Service Officer (Kingston, Jamaica) - UHWI


Applications are invited from suitably qualified persons to fill the positions of Customer Service Officer GNG/AM 3) at the University Hospital of the West Indies.

Summary of Duties:

Under the general direction of the Senior Customer Service Officer and Manager Customer Care, the incumbent is responsible for:

  • Providing information to patients and relatives on registration procedures after triage and clarifying the treatment process
  • Explaining to patients/relatives why patients with non-emergencies cannot receive immediate attention
  • Ensuring confidentiality when dealing with patients and/or their relatives and friends
  • Maintaining efficiency standards set by the hospital in relation to the delivery of patient care
  • Acting as a liaison to collaborate activities and coordinate information between the medical, nursing staff and relatives, in order to ensure that there is understanding between all concerned
  • Assisting patients who are alone to contact relatives/friends by telephone
  • Helping patients who are unable to pay for treatment to negotiate with Medical Records Officer regarding payments
  • Re-enforcing or simplifying instructions to patients/relatives where necessary
  • Assisting family members/relatives with the emotional aspects of trauma and to make practical decisions in case of immediate crisis
  • Ensuring that patient service standards are maintained at the highest possible levels of customer satisfaction

Minimum Required Education and Experience:
  • Diploma in Management Studies, Social Work Public Administration or Business Administration
  • Certificate in Customer Service
  • Three (3) years experience in a similar capacity
  • Thorough  knowledge of operational processes and procedures of a hospital would be an asset

Customer Service Officer/Receptionist (Kingston, Jamaica) - The Jamaican Bar Association

Role and Functions of Job:

  • Manage the flow of visitors to the office by pleasantly greeting, directing and announcing them appropriately
  • Efficiently operate the PBX telephone switchboard by receiving all calls with courtesy and tact and transfer calls to the requisite persons as necessary
  • Take clear, accurate and concise messages for staff if they are unavailable 
  • Handle phone calls/email queries or complaints, provide appropriate solutions or escalate to the appropriate staff and follow-up until resolution is achieved
  • Check and update Pay per View Recording platform daily and disseminate attendee certificates as required
  • Process incoming and outgoing mails/packages for dispatch
  • Identify and assess customers' needs to achieve satisfaction
  • Provide accurate, valid and complete information by using the right methods/tools
  • Keep records of customer interactions, process customer accounts and file documents
  • Follow communication procedures, guidelines and policies
  • Assist customers with registration for webinars/seminars and conferences

Customer Service Officer (Kingston, Jamaica) - Ministry of Justice



Customer  Service  Officer  (GMG/AM  2) required  in  the  Legal  Aid  Council,  Ministry  of Justice,  salary  range  $986,421  -  $1,172,544  per  annum  and  any  allowance(s)  attached  to  the post. 

Job Purpose 

The  incumbent,  under  the  direction  of  the  Human  Resource  &  Administration  Manager establishes  and  maintains  a  professional  relationship  with  the  Customers  of  the  Legal  Aid Council,  ensuring  that  all  their  queries  and  complaints  are  met,  and  acts  as  one  of  the  resource persons for the Council’s mandate. 

Key  Responsibilities     

  • Greets  and  receives walk-in clients;   
  • Answers  and direct  telephone  calls;   
  • Provides  information  to  customers  on legal  and  other  matters  pertaining  to  the  services of the Council;   
  • Interviews  clients  for  Legal  Aid assignments  (Form  C)  and  directs  for  consultation/legal advice;   
  • Completes  assignment  (Form D) for Court;   
  • Completes  and  produces  Application and Assignment  forms  for  the  Executive  Director’s signature;   
  • Follows-up  with Counsel  and  clients regarding  assignments;   
  • Maintains  a computerized Registry  of  incoming correspondence  and  assignment  logs;   
  • Refers  unresolved  customer’ complaints to Human Resource  &  Administration Manager/Executive Director for further investigation;  
  • Assists  with listing  of  payments  for  Attorneys;   
  • Assists  Attorneys  with viewing  of  their  files;   
  • Analyzes documents  submitted  by  Attorneys  to  ensure  completeness  and  correctness;  
  •  Assists  with  making  photo-copyies  of  documents;  
  •  Provides  empanelled  Attorneys  with ethical  guidelines  and other  operational  documents;  
  • Performs any other duties as assigned. 

Required  Knowledge,  Skills  and  Competencies    

  •  Excellent  written  and  oral  communication skills;   
  • Excellent  customer  service and interpersonal  skills;  
  • Good time management skills;
  •  Minimum  Required  Qualification  and Experience   
  • Certificate  in Business  Management/Administration;   
  • Customer  Service Training;  Three (3) years’ experience in customer service or related field.
