Senior Secretary (Kingston, Jamaica) - University Hospital of the West Indies

Applications are invited from suitably qualified persons to fill the position of Senior Secretary - Clinical Services  (OPS/SS 3) at the University Hospital of the West Indies.

Salary: $1,711,060 per annum

Summary of Duties:

Under the general direction of the Senior Director - Clinical Services/Medical Chief of Staff, the Senior Secretary - Clinical Services is responsible for:

  • Typing letters, reports, circulars, memo, and letters of recommendation for agencies
  • Attending meeting, taking notes, transcribing and producing minutes in a timely manner
  • Maintaining appointment diary for the Senior Director - Clinical Services/Medical Chief of Staff and disseminating information as directed
  • Contacting Heads of Departments or other personnel to relay information regarding meetings as other appointments or to convey information generally 
  • Obtaining patients' records for investigation purposes and maintaining a reliable tracer system
  • Receiving and dispatching correspondence (internally/externally) using reliable logging system
  • Liaising with Hospital's Lawyers, as directed, to provide assistance regarding cases involving patients' complaints
  • Following up on status/progress of Medical Reports for patients from consultants for inquiry purposes or otherwise
  • Receiving complaints (oral/written) on the bahalf of the Medical Chief of Staff and attend to or referred for the appropriate action

Minimum Required Education and Experience:
  • MIND certificate in Administrative Management (Level 3)
  • At least four (4) years of work experience in the related field
  • Experienced Secretary/Executive Secretary specializing in handling top management or equivalent

Customer Service Officer (Kingston, Jamaica) - UHWI


Applications are invited from suitably qualified persons to fill the positions of Customer Service Officer GNG/AM 3) at the University Hospital of the West Indies.

Summary of Duties:

Under the general direction of the Senior Customer Service Officer and Manager Customer Care, the incumbent is responsible for:

  • Providing information to patients and relatives on registration procedures after triage and clarifying the treatment process
  • Explaining to patients/relatives why patients with non-emergencies cannot receive immediate attention
  • Ensuring confidentiality when dealing with patients and/or their relatives and friends
  • Maintaining efficiency standards set by the hospital in relation to the delivery of patient care
  • Acting as a liaison to collaborate activities and coordinate information between the medical, nursing staff and relatives, in order to ensure that there is understanding between all concerned
  • Assisting patients who are alone to contact relatives/friends by telephone
  • Helping patients who are unable to pay for treatment to negotiate with Medical Records Officer regarding payments
  • Re-enforcing or simplifying instructions to patients/relatives where necessary
  • Assisting family members/relatives with the emotional aspects of trauma and to make practical decisions in case of immediate crisis
  • Ensuring that patient service standards are maintained at the highest possible levels of customer satisfaction

Minimum Required Education and Experience:
  • Diploma in Management Studies, Social Work Public Administration or Business Administration
  • Certificate in Customer Service
  • Three (3) years experience in a similar capacity
  • Thorough  knowledge of operational processes and procedures of a hospital would be an asset

Collections Officer - part-time (Kingston, Jamaica) - University Hospital of the West Indies (UHWI)


 The UHWI Private Wing, Tony Thwaites Wing, invites applications from suitably qualified persons to fill the temporary, part-time position of Collections Officer.  

Preference will be given to candidates who present the minimum competence and requirements below:

Responsibilities:

  • Monitoring in-house patient balances daily
  • Verifying service charges and communicating outstanding balances to customers 
  • Collecting balances from in-patient, post insurance and non-insurance accounts
  • Preparing weekly collection reports

Required Competencies:

Administrative Assistant (Kingston, Jamaica) - University Hospital of the West Indies

Summary of Duties:

Under the general direction of the Senior Director, Strategic Planning, Performance & Project Management, the Administrative Assistant is responsible for:

  • Providing administrative support regarding the services and activities of the Office of the SPPPMB;
  • Arranging and monitoring the logistics for internal and external meetings
  • Providing secretarial and administrative support to internal and external meetings which include preparing agenda, information, and resources for meetings, recording and transcribing minutes and decisions of meetings, and circulating documents for meetings, seminars, and conferences
  • Preparing meeting files for SPPPMB
  • Representing the Office at meetings, seminars and workshops as required

Administrative Assistant (Kingston, Jamaica) - University Hospital of the West Indies

Summary of Duties:

Under the general direction of the Principal Director, the Administrative Assistant - Hospital Redevelopment Programme  is responsible for:

  • Planning, organizing and scheduling meetings of the hospital redevelopment programme
  • Attending, taking, and preparing minutes of HRDP meeting monthly
  • Following-up and ensuring that outstanding matters from the HRDP Committee are dealt with
  • Collating and circulating minutes and action related attachments in advance of scheduled meetings
  • Drafting correspondence for Principal Director's signature based on decisions taken at meetings
  • Following up the action points from HRDP meetings 
  • Maintaining documentation of appointments/visits/correspondence to avoid clashes and ensuring availability of related documents
  • Ensuring that communications to the relevant stakeholders are dealt with and given the urgency required

Minimum Required Education and Experience:
  • Diploma in Management or Administration
  • At least four (4) years progressive experience in office management/organization with functionality in the office of a senior executive

Assistant Manager - Operations

UHWI Private Wing, Tony Thwaites Wing invites applications from suitably qualified persons to fill the permanent, full-time position of Assistant Manager - Operations. The Assistant Manager - Operations will be responsible for supervising and managing the daily operations of the facility to ensure the highest level of operational efficiency.

Responsibilities:

  • Providing Project Management support for internal and external projects.
  • Overseeing the maintenance and upkeep of the facilities and all operational and medical equipment.
  • Supervising and monitoring the daily activities of the Maintenance Technicians and Groundsman.
  • Managing business relationships with external suppliers of goods/sundries/services.
  • Negotiating and monitoring contractor and equipment service agreements.
  • Providing coordination support for the training and implementation of the Health Information System for TTW users.

  • Or a Diploma in Mechanical or Electrical Engineering; Or Building Technology or appropriate technical and business administrative certification in areas related to the position along with at least seven (7) years' demonstrated experience in a hospital facilities management or property management in a comparably complex environment as the hospital (e.g. hospitality/ hotel environment).
  • Demonstrating knowledge of accounting and patient management systems related to the medical field is a plus.
  • Demonstrated knowledge of medical terminology and/or functions of Hospital Medical Records.

Summary of Duties

Under the general direction of the Senior Director - Information, Communication and Technology, the Supervisor - Telephone Exchange us responsible for:

  • Supervising and training eleven (11) memrs of staff
  • Being conversant with all equipment in the department
  • Relieving Telephone Operator when needed
  • Maintaining a record of various departments' duty rosters
  • Ensuring that adequate supplies of stationery and toiletries are present in the department
  • Attending to staff/personnel needs or problems when they arose
  • Being familiar with changes being made in the hospital
  • Attending management meetings
  • Checking telephone monthly bills for payment
  • Seeing to the repairs of anything pertaining to the telephone service in the hospital, also Doctors' residences by Telephone Company
  • Screening telephone calls for doctors and nurses
  • Maintaining a record of all long distance and overseas calls which are approved by authorized officers in the Hospital and submitting these  e Finance and Accounts Section
  • Assisting the public with general information and referring them to other departments, agencies or organizations responsible for dealing with request
  • Preparing roster of staff adequately providing 24-hr service
  • Ensuring that all equipment are properly maintained. Equipment includes:
  1. Three (3) consoles (switchboards)
  2. Ten (10) straight lines
  3. S.L. (4) phones
  4. One (1) extension
  5. Two (2) radios for contacting ambulances and other island-wide hospitals
  6. Comtech machine for paging doctors (over 200 doctors are on staff)
  7. Public address system
Minimum Required Education and Experience:
  • Five (5) CXC/GCE subjects including English Language and a certificate in Supervisory Management
  • Five (5) years related work experience
  • Specialized course in Telephone Operations
