Data Entry Officer (Kingston, Jamaica) - Integrity Commission


 Job Summary

Under the supervision of the Human Resource Manager, incumbent is accountable for the input/update/processing of personnel data on a daily basis, using computer, information from files or
completed forms to update the MyHR+ Software System.

Responsibilities and Duties:

  • Liaises with the Human Resource Officer to request/retrieve process and return personnel/employees files to storage cabinets/vaults;
  • Enters and verifies data obtained from personnel files to the computer system;
  • In conjunction with the Human Resource Officer accurately capture and update MyHR+Systems with each employee leave (vacation/sick/department);
  • Checks to ensure that accurate data has been entered into the MyHR+ system;
  • Prepares data entry screen for recording each employee leave in a spreadsheet format.
  • Secure entered information by creating data backup on a periodic basis;
  • Maintains leave records on behalf of each employee;
  • Advises the Human Resource Officer of mal-functioning equipment or other constraints which may prevent timely completion of assignment.
  • Exercises the highest level of confidentiality and integrity.
  • Performs such other related tasks, functions or duties, as may, from-time-to-time, be assigned by the Human Resource Manager or the Director, Corporate Services.

Minimum Required Qualifications and Experience
  • Associate or Undergraduate Degree in Business Administration, Computer Studies or equivalent.
  • Minimum of one (1) year work experience.
  • Working knowledge of data entry applications.

The Early Childhood Commission (ECC), a Statutory Body of the Ministry of Education and Youth with responsibility to regulate the operation of early childhood institutions, is seeking to identify highly motivated and dynamic individuals to fill the following post:

Data Entry Clerk (MIS/IT 2) 

Job Purpose 

Reporting to the Manager, Community Relations, the incumbent is responsible for providing data entry support to the Community Relation Department and the Sector Support Unit to monitor and input of data for the function of the BBCs within the ECC and that of salary subsidy. 

Key Responsibilities:

  • Support the application process by inputting application data in the relevant computer applications
  • Maintains and updates system of new and existing files/documents for the Division
  • Examines and validates all applications/contracts with accompanying documents
  • Communicate status of contracts to clients
  • Assist in the preparation of correspondence and reports to BBCs by typing, printing, and packaging documents as requested
  • Batch and file documents as requested
  • Retrieve filed documents 
  • Log all files in and out of the Filing Unit
  • Send correspondence  to clients
  • Prepare data on BBCs
  • Prepare report based on request
  • Perform other related duties assigned from to time

Minimum Required Education and Experience:
  • Diploma or Associate degree in Computer Studies or equivalent qualifications from an accredited institution with at least one (1) year working experience
  • Four (4) CXC passes at the General Proficiency Level, including English Language and Mathematics with at least three (3) years related working experience
Remuneration: Salary Scale $1,711,060.00 - $2,301,186.00 per annum, and any other allowances attached to the post.

Duties and Responsibilities:

  • Conduct site visits to plants and liaise with members of the Technical, Maintenance, Instrument and Electrical, Loading Rack, Refinery Dock, and Production staff to ascertain changes that have been made to existing equipment and correlate this with information provided in the existing equipment files
  • Modification of engineering data (specifications, cost centre, regarding existing in the System)
  • Conduct data collection, collation and input data on new equipment into the system i.e. creating new equipment with respective specifications, assigned area and cost centre
  • Update and generate catalog codes for new and existing equipment based on Planner's instructions to facilitate data analysis
  • Update activity prices for maintenance skill categories so that costs are established for labour usage

DATA ENTRY CLERK (MIS/IT2)

Job Summary:

Reporting to the Warehouse Supervisor the incumbent is responsible for entering, product delivery information and generate delivery receipts for schools in the Acc/Pac database system. The incumbent also performs routine and various item processing functions under supervision within a process that has built-in checks and balances.

Key Outputs:
  • Returns (crates and products) recorded
  • Goods Received Note prepared transfer of finished products from the Production Department to the Warehouse and Distribution Department.
  • Gate passes prepared for approval by the Warehouse & Distribution Manager.
  • Transfer product items to the Annotto Bay Plant on a daily basis or as is required.
  • Delivery Receipts reviewed
  • Weekly balances reconciled
  • Databases updated
  • Goods Received Note and transfer of finished products prepared

  • Tabulate and compile daily all delivery receipts generated from Kingston Plant by all contract drivers.
  • Tabulate and compile daily all delivery receipts generated from rural plants namely St. Mary Plant on a daily basis,
  • Ensure that proper recording of schools delivered to are done on a daily basis.
  • Review delivery receipts for deficiencies and correct any incompatibilities before being posted.
  • Reconcile weekly balances with Distribution Supervisor and Night Loading Supervisor to ensure accuracy of data posted.
  • Correspond with Night Loading Supervisor on a daily basis to ensure the proper and correct recordings of snacks are done in relation to the variety received by the delivery drivers.
  • Ensure that proper data entry procedures and practices are maintained by complying with security backups and regular checks to ensure data is saved and stored properly
  • Develop, manage and maintain all data entry of delivery generated from Kingston Plant.
  • Summarize and report on information gathered while corresponding with coordinators.
  • Interacting with Night Loading Supervisor on a daily basis to ensure that all loading sheets correspond with the correct amount received by each driver as against the amount issued to the schools and the amount returned.
  • Update databases or records with new information as it become available
  • Scan documents and print files when needed
  • Respond to queries for information and access relevant files
  • Prepare Goods Received Note and transfer of finished products from the Production Department to the Warehouse and Distribution Department
  • Prepare gate passes for the delivery of products to the relevant areas

Performance Standards:
  • Delivery receipts are error free prior to being sent to the Accounts Department and are sent within established timeframe
  • Good Received Note accurately reflect quantities of finished product transferred from Production
  • Information is accurately posted to the data base and within established timeframe
  • Quantity and variety of snacks received by the Delivery Contractors are correctly recorded.
  • Balances accurately reconciled within established timeframe
  • Returns (crates and products) are recorded in accordance with established timeframe
  • Goods Received Note accurately prepared and finished products transferred in accordance with established timeframe

REMUNERATION
Basic Salary: $1,550,136.00 - $2,084,761.00 per annum

Data Entry Clerk (Kingston, Jamaica) -MegaMart Jamaica

 The Data Entry Clerk is responsible for the Assisting the Inventory Supervisor in Performing Activities Related to Stock Take, Data entry, Stock Transfer, Add to Stock, Price Updating ,Price Correction.

Duties and Responsibilities
  • Ensures that all invoices received are stamped and signed by the relevant parties, e.g Receival and Security personnel
  • Ensures that any adjustments made to invoices are appropriately and immediately communicated to the Receival and Security personnel on duty
  • Ensures that invoices are properly logged and accounted for using the security log sheet.
  • Accurate Data Entry of Invoices and Credit Notes.
  • Ensures all Processes are adhered in terms of Receiving Goods at the Receiving Area of the store.
  • Auditing of stock when receiving.
  • Participates in various Cyclic Stock Counts, Annual Stock Takes, and any kind of Stock count as asked by the Inventory Supervisor.
  • Data entry of Stock Relief sheets and Scanning of all SKU’s physically in various departments.
IDEAL CANDIDATES WILL HAVE:-
  • Diploma in Management from a recognized tertiary institution or Minimum of 5 CXCs including Math and Information Technology
  • Minimum 2 years’ experience in a similar capacity
  • Must be proficient in Microsoft Word and Excel
  • Two (2) Work related references
