Public Procurement Administrator Needed (Kingston, Jamaica) - Jamaica Bauxite Institute

The Jamaica Bauxite Institute seeks to engage a qualified and experienced individual for the following position:


Public Procurement Administrator Level 4

Summary of Duties:

Under supervision of the Procurement Officer, the Public Procurement Administrator will do the following:

  • Coordinate reports on behalf of the Public Procurement Officer.
  • Maintain records in accordance with the FAA Act, Regulations and Instructions.
  • Disseminate in a timely manner, all incoming and outgoing correspondences.
  • Coordinate meetings.
  • Have responsibility for organizing all purchasing documents.
  • Ensure that all purchase requisitions are correctly directed before purchase orders are prepared.
  • Ensure all necessary information for the processing of purchase requisitions available.
  • Assist with compiling data to prepare purchase orders.
  • Communicate with all levels of staff regarding the movement of requisitions and purchase orders.
  • Maintain proper records management for purchase requisitions, purchase orders and C.O.D. letters.
  • Follow up on C.O.D., ascertain preparation of cheques and return the appropriate documentation to the accounts department when goods are supplied or the services are provided.
  • Assist in taking calls from suppliers, shipping agents etc.,

Minimum Qualifications and Requirements:
  • Diploma in Business Administration/Management Studies/Accounting or any other related field.
Interested applicants must possess a minimum of one (1) year's working experience in a comparable field for consideration.

Training in Procurement will be an asset.

Accountant needed (Kingston, Jamaica)


An insurance brokerage is seeking an Accountant. 

Job Description:

The Accountant is responsible for managing the accounting department, including supervising other accounting staff, company cash management and receivable functions, reviewing all general ledger transactions, closing of accounting periods and finalizing monthly trail balance, reviewing internal controls and coordinating audit management.

Essential Functions:

  • Manage company budget and related expenses
  • Prepare timely reports for the F.S.C.
  • Monitor companies Petty Cash Float, Account Receivables and Account Payables
  • Compile information and reports for external auditors as required.
  • Maintaining the accounting month close process, ensuring that all cash management transactions are recorded completely, approving and preparing journal entries and other account balance reconciliation.
  • Review accounting documentation and processes to recommend develop and improve internal controls.
  • Reports for daily and weekly cash flow.
  • Manage the cash management process ensuring that all cash and banking transactions are updated accurately and timely.
  • Oversee monthly company bank reconciliations.
  • Any other duties may be requested.

Qualifications:
  • Strong time management skills.
  • Knowledge in cost accounting and experience in the Insurance industry would be an asset.
  • Excellent and energetic team player.
  • Possess excellent analytical skills.
  • Detail oriented, results driven confident and quick thinking individuals.
Minimum Education and Work Experience:
  • Minimum five (5) years' senior accounting experience.
  • ACCA Level 11 or Bachelor's Degree in accounting / equivalent.
  • Knowledge and understanding of acceptable financial accounting principles and procedures.
  • Strong work ethics, organized, excellent leadership abilities combined with excellent written and oral communication.
  • Experience working in Insurance brokerage or companies will be an asset.

Maintenance Technician (Grade 2)

Under the guidance of the Building Supervisor, the incumbent will be a part of the Operations Team with responsibility for ensuring the effective and efficient performance of technical tasks on the assigned properties and ultimately to secure optimality in customer service and the performance of the electrical, mechanical, and air-conditioning systems. This includes among others, providing technical occupant's support services. data collection and reviews testing of, and repairs/adjustments to equipment, fittings, fixtures and other facility components.

Position Summary:

  • Ensure the efficient operation, testing and preventative maintenance of assigned building systems.
  • Preliminary assessment and reporting of building system problems.
  • Initiate corrective measures through seniors and/or established service contractors.
  • Perform preventative maintenance activities.
  • Timely and accurate testing and recording (reporting where necessary) of building equipment performance variables.
  • Ensure the proper use, storage and servicing of maintenance tools and equipment.
  • Monitoring and/or making the more technical adjustments/repairs where necessary for all electrical and mechanical systems.
  • Knowledge of BMS and HVAC control or PLC systems.
  • Provide initial response to occupant's complaints/reports within the designated timelines.
  • Provide secondary responses to the more technical tasks elevated from the grade three (3) technician's level.
  • Provide accurate and well balanced information to occupants on the more technical issues arising from time to time.
  • Provide technical hands-on training, guidance and support to junior staff members.
  • Provide oversight on the activities of contractors and other third party agents.
  • Keep the supervisor abreast of important developments relating to assigned properties.
  • Make recommendations to the supervisor for improvements in operations practices
  • Continuously research emerging systems, processes and procedural trends in facilities management
  • Deputize in the absence of the Grade 1 Technician

Education/Work Experience/Skills & Abilities:
  • HEART Trust/NTA Level 3 certification or its equivalent in the electrical/mechanical, air conditioning and plumbing and joinery disciplines
Or
  • Accredited diploma/associate degree from a recognized institution in the above or parallel disciplines
  • Minimum of two (2) years hands-on experience in electrical, mechanical, air conditioning, plumbing and joinery
  • Proficient in office productivity software
  • Highly reliable, team player and service oriented
  • Excellent troubleshooting and critical thinking skills
  • Ability to effectively communicate verbally and in writing with team members, multiple tenants and tenant's clientele
