Legal Secretary (Kingston, Jamaica) - Administrator-General's Department

 Applications are invited from suitably qualified candidates to fill the following position: 

Legal Secretary - Grade 4

Salary range: $1,119,548 - $2,024,496 per annum plus any allowances attached to the post.

Job Purpose:

To provide secretarial and administrative support to the Senior Legal Executive and the Legal Services Section.

Technical/Professional Responsibilities:

  • Creates Instruments of Administration, Instruments of Distribution and Letters of Administration for filing to the Administrator-General or Court
  • Updates databases in the Section regarding the progress of applications for instruments of Administration, Instruments of Division, Letters of Administration and rent arrears matters
  • Types and prepares legal documents, correspondence, reports and minutes for the Senior Legal Executive and Attorneys within the stipulated timeframes
  • Prepares agendas for meetings and circulates within stipulated timeframe
  • Maintains diary of court matters for the Senior Legal Executive and Attorneys
  • Retrieves and passes all files for court to Senior Legal Executive and Attorneys at least one (1) week before the scheduled court date
  • Ensures that the legal responsibilities of rent arrears portfolio are managed and timeframes adhered to
  • Organises client meetings and conferences and prepares relevant documents
  • Screens and routes telephone calls to Senior Legal Executive and Attorneys at least one (1) week before scheduled court date
  • Responds to requests made by the Courts, the Registrar of Titles, and Stamp Office as directed
  • Responds to routine enquiries and correspondence in accordance with guidelines given
  • Interfaces with private Attorneys-at-law and members of the public seeking audience with the Senior Legal Executive  and Attorneys; deals with matters within given authority 
  • Establishes and maintains an efficient filing and record keeping system for the Section
  • Records the movement of files between Sections and on return to the Registry
  • Assists in the preparation and collation of standard monthly and quarterly reports

Qualifications & Experience:
  • Paralegal diploma or related qualifications
  • Secretarial certification
  • Two (2) years work experience in an office environment

Warehouse Attendant 

Key Responsibilities:
  • Safe picking, packing and staging of customer orders
  • Assist with the loading of delivery vehicles
  • Assist with the off-loading of containers
  • Stacking and putting away of inventory after receiving and check off
Qualifications and Skills:
  • Minimum of three (3) CSEC passes
  • At least one (1) year exposure to warehousing or merchandising
  • Strong customer service orientation
Sales Representatives (Kingston, St. James, Trelawny and St. Elizabeth)

Key Responsibilities:
  • Visit customers on a scheduled basis and ensure full distribution of the company's products
  • Expand sales to existing customers and seek new customers
  • Evaluate the performance of products under your care in each store on a regular basis and recommend marketing programs to facilitate throughput and optimize performance 
  • Ensure the effective implementation of all marketing programs
  • Provide management of receivables by operating at a point that minimizes risk while maximizing sales
  • Liaise with our warehouse to ensure that the deliveries are done in a timely manner
  • Manage assigned merchandisers to ensure stock availability at all times, effective product display and stock rotation
Qualifications and Skills:
  • Knowledgeable about Jamaican trade distribution channels
  • Target driven with proven track record in sales
  • Excellent selling, communication and negotiation skills
  • Computer literate
  • Be willing and able to work flexible hours including evenings and weekends 
  • Own and operate a reliable motor vehicle 
  • Tertiary level education in sales or marketing
  • Have a minimum of three (3) years successful sales experience

Merchandisers (Islandwide)

Key Responsibilities:
  • Work with sales representatives to ensure sufficient stock availability 
  • Replenish shelves with the company products, ensuring products are properly displayed and proper stock rotation is employed 
  • Remove all expired or damaged products from the shelves 
  • Work with the respective sales representative and management by communicating issues as appropriate 
  • Ensure execution of account specific campaigns
  • Work with the customer to price products and ensure that they are properly displayed 
  • Submit daily reports on stock availability and movement competitive scenario, etc
  • Work in a safe and efficient manner
Required Skills and Qualifications:
  • Minimum three (3) CSEC passes
  • At least two (2) years working experience in a similar capacity
  • Excellent oral and written communication skills
  • Be a team oriented, performance driven, customer focused and professional with a positive demeanour
  • Be willing to work a flexible schedule which may include early mornings, late nights, weekends and holidays

Job Scope:

Reporting directly to the Branch Supervisor, the incumbent is required to assist the Branch Supervisor in interviewing members and processing loan applications, as well as posting loans, bank lodgements and disbursement of cheques.

Core Functions:

The functions of the position include but are not limited to:

  • Vet applications to ensure they have been accurately completed

Qualifications and Experience:
  • Tertiary certification in Business Administration would be an asset 
  • Four (4) CXC or GCE 'O' level passes, including Mathematics and English Language
  • Minimum of two (2) years experience in a similar position
  • Working knowledge of word processing and spreadsheet applications
  • Excellent customer service skills
  • Sound communication skills, both oral and written

Secretary (OPS/SS 2) - Manchester, Jamaica - The Electoral Commission of Jamaica

The Electoral Commission of Jamaica is looking for a Secretary (OPS/SS 2) for Region 4 (Manchester), Region 6 (St. Catherine) and Zone East (Kingston & St. Andrew).

Job Summary

Performs all administrative/clerical functions associated with the efficient operation of the Regional and Zonal Managers' office.

Core Duties:

  • Handling of incoming and outgoing correspondence and telephone calls
  • Maintenance of adequate levels of stationery and office supplies within the Unit
  • Coordinating/Attending meetings and taking minutes for reproduction
  • Assists the Regional/Zonal Manager in gathering and preparing information associated with field exercises
  • Maintains a suitable filing system at the Regional Office
  • Assists with the packaging and distribution of election materials for constituencies within the region

Minimum Qualifications and Experience:
  • Five (5) CXC/CSEC subjects inclusive of English Language and Mathematics with passes at grades 1, 2 or 3
  • Certificate in Secretarial/Administrative Studies from an accredited institution
  • Proficiency in standard computer applications (Microsoft Word, Excel and PowerPoint)
  • Minimum of two (2) years experience at a similar level
  • Designation of Certified Professional Secretary (CPS) is desirable
Salary band: $1,124,500 - $1,512,328 per annum
