Clerical Assistant/Accounts Payable Officer (Contract)

Key Responsibilities

Under the direct supervision of Bursar, the Accounts Payable Officer is responsible for the management of procedures in accounts payable and disbursements, ensuring that:
  • the established systems and procedures for the accounting payables functions are adhered to, by ensuring that all requests for payments are effected according to the FAA Instructions and other established procedures.
  • there is timely processing of payables and disbursements
  • all payments and expenditures, including payroll, purchase orders, invoices, statements, commute and mileage registers are tracked.


Scope of Responsibilities
  • Prepare payments to the institution’s suppliers
  • Prepare monthly reconciliation of payables
  • Prepare monthly reconciliation of Accounts payables ledgers and sub ledger
  • Monthly preparation of audit schedules
  • Arrange journal entries
  • Ensure that all payables transactions are updated in QuickBooks System
  • Perform day to day financial transactions including, verifying, classifying, and recording accounts payable data
Minimum Required Qualification and Experience
  • Solid understanding of basic bookkeeping and accounting payable principles
  • Working knowledge of QuickBooks Account Software
  • Diploma in Accounting from a recognized University or;
  • Associate of Science Degree in Accounting, MIND, or Diploma in Government Accounting, MIND, i.e. Government Accounting Level 1, 2 & 3
