Secretary 2  (OPS/SS  2)  –  Caribbean  Regional Drug Law Enforcement  Centre (Branch  (Vacant), salary range  $715,413  –  $850,401 per annum and any allowance(s) attached.
Job Purpose
The incumbent will provide Secretarial and Administrative support to the Administrative Manager.
Key Responsibilities
- Types letters, correspondence, reports and all related documents for the Administrative Manager;
- Receives and records telephone messages and forwards to appropriate officer;
- Prepares Minutes of meetings and submits to the Administrative Manager for review;
- Assists in maintaining files of appointment schedule for lecturer and make copies for participants and other relevant officers;
- Prepares acknowledgement for routine correspondences;
- Liaises with Syndicate Director in co-ordinating course for the vetting of manual before preparation;
- Assists in compiling Manual for participants;
- Reproduces and circulates course materials including copying, sorting and compiling manual;
- Circulates communiqués to staff;
- Updates Leave Cards for staff;
- Classifies and files correspondence and other documents and retrieves files;
- Receives visitors and provides appropriate information or other requirement or directs to appropriate officer(s).
Required Knowledge, Skills and Competencies
- Good oral and written communication skills
- Knowledge of computer applications
- Good time management skills
- Knowledge of database management
Specialized Training:
Minimum Required Qualification and Experience
- CXC or GCE ‘O’ Level English Language or equivalent with proficiency in typewriting at a speed of 40-45 words per minute; successful completion of the prescribed Office Professional Training Course at the Management Institute for National Development (MIND);
OR
- CXC or GCE ‘O’ Level English Language with proficiency in typewriting at a speed of 40-45 words per minute and training in word processing and spreadsheet applications. Graduated  from  an  accredited  Secretarial  School  with  at  least  three  (3)  years’ experience in the field.
- At this level, Shorthand at a speed of 80-100 words per minute would be an asset.
